Terms of Service

1. Our services

Kaihost is a tour operator based in Tbilisi. We design and coordinate customized private and small-group travel experiences in Georgia, Armenia, and Azerbaijan. Our services include trip planning, guided tours, transportation, accommodation booking, e-visa assistance, and travel insurance arrangement.

2. Booking process

1. You send us an inquiry via our website form, email, WhatsApp, or phone.
2. We respond within one business day with a proposed itinerary and quote.
3. To confirm the booking, you pay a 20% deposit of the total quoted amount.
4. Upon receipt of the deposit, we issue a booking confirmation email, a voucher (PDF), and an invoice.
5. The remaining 80% balance is paid on arrival, in cash, by bank transfer, or by card.

3. Payment

All amounts are quoted and payable in Georgian Lari (GEL). We accept payment via:

• Bank transfer to our corporate account (details provided on the invoice);
• Secure card payment (Visa, Mastercard) via a payment link generated on request through the TBC Bank / Flitt payment gateway and sent to you by email.

Card payments are processed entirely by TBC Bank / Flitt. Kaihost does not receive, store, or process your card details.

4. Cancellation and refunds

Cancellation by the Client:

• More than 14 days before your arrival date: full refund.
• Between 5 and 14 days before arrival: no cash refund; the paid amount is retained as credit toward a future Kaihost booking, valid for 12 months from the original arrival date.
• Less than 48 hours before arrival: non-refundable.

Force majeure: In cases of standard force-majeure events — political instability, international travel restrictions, pandemics, extreme weather conditions, natural disasters, or similar circumstances beyond your reasonable control — the paid amount is retained as credit on your Kaihost client account, valid for one calendar year from the original arrival date and usable toward any future trip.

5. Client responsibilities

By booking with us you confirm that:

• The personal details you have provided are accurate;
• You hold a valid passport and any required visas for the destinations on your itinerary;
• You have obtained appropriate travel insurance covering the countries you will visit — this is a mandatory entry requirement for Georgia, Armenia, and Azerbaijan;
• You will comply with the laws and customs of the countries you visit;
• You accept that certain outdoor activities (hiking, mountain driving, wine tasting) carry inherent risks and you participate at your own responsibility.

6. Liability

Kaihost acts as a coordinator between you and third-party service providers (hotels, drivers, guides, activity operators). We select partners carefully and monitor quality, but our liability is limited to the total amount you paid us for the affected service. We are not liable for:

• Force majeure events (weather, border closures, natural disasters, political events);
• Delays or losses caused by third parties outside our reasonable control;
• Personal injury or property loss during activities you undertake at your own risk.

7. Complaints

If any part of our service falls short of your expectations, contact us during your trip at +995 577 998 900 or info@kaihostgeorgia.com so we can resolve the issue in real time. Written complaints after trip completion must be submitted to the same email within 30 days.

8. Governing law

These Terms are governed by the laws of Georgia. Any dispute arising out of or in connection with these Terms is subject to the exclusive jurisdiction of the courts of Tbilisi, Georgia.
